Position summary
This position provides organizational and administrative support under the direct supervision of the Intensive English Programs Director. The role involves managing a wide range of office and program-related tasks while serving as a primary point of contact for current and prospective students and adjunct instructors. It requires strong interpersonal and organizational skills and effective time management. The candidate should also have knowledge in creating engaging digital content, updating webpages, and managing social media platforms to support effective communication and recruitment efforts. Because the program serves an international student population, bilingual proficiency in English and Spanish is strongly preferred.

Duties and responsibilities
- Provide a warm, welcoming atmosphere for the department
- Maintain a professional appearance and demeanor
- Answer the phone and manage emails in a timely manner.
- Work with admissions, international student services, student financial services, and other offices as needed
- Organize events (i.e., department vespers, end-of-the-semester celebrations)
- Help with marketing and recruitment (i.e., create flyers, video editing, etc.)
- Update and manage the IEP website and social media accounts (e.g., Facebook and Instagram pages)
- Record minutes of faculty and committee meetings
- Update course schedules, both internally and online.
- Coordinate and administer language testing.
- Order books and desk copies at the request of the program director
- Purchase office supplies
- Change or make classroom reservations when/if needed
- Assist with handling the petty cash box and keeping a record of it
- Create a tutoring schedule
- Maintain a tidy appearance of the office and kitchenette area

Qualifications
- Strong communication and interpersonal skills
- Proficient in Microsoft Office, especially Word and Excel
- Proficient in Google Docs, Slides, and Forms
- Proficient in creating social media content (i.e., reels, flyers, etc.)
- Basic accounting skills and knowledge of money handling procedures
- Bilingual ability is desirable
- A bachelor’s degree is preferred

Greet visitors, students, and others who come into the DIEP office.
Answer the phone, manage email, and complete other front-desk administrative work.
Communicate in a professional manner in person, on the phone, and through email.
Communicate with students and prospective students about university language requirements and DIEP classes, processes, and policies.
Communicate with programs, departments, and schools, and individual faculty and staff members, about university language requirements, IEP classes, processes, and policies.
Physical demands
While performing the duties of this job the employee is regularly required to sit and talk or hear. Additionally, the employee is occasionally required to stand and walk.
